A Guide to Using Data Comparison Feature on WPS Office
Handling a ton of data on a spreadsheet file can get difficult if you don’t know about the type of entries present in the spreadsheet and the commonalities among them. WPS Office allows you to streamline the process of qualifying data by using the Data Comparison feature.
The good thing about Data Comparison is that it saves you from checking every single entry through a manual approach. Instead, you can use the tool to make sense of the data without spending a lot of time and effort.
Manage Duplicates
The Manage Duplicates button is present in WPS Office through the following process:
Open your desired file in the WPS Office.
Navigate to the “Data” tab.
Locate the “Manage Duplicates” option.
Once you click on the “Manage Duplicates” tab, you will be presented with four additional options. Here is a brief use case of each option the dialogue box displays.
Highlight Duplicates
The Highlight duplicates feature is used only for highlighting any entries that are repeated throughout the data. With this feature, you can identify which rows contain the same entries and how you should deal with those entries.
To find out the Highlight duplicates button, you will need to click on the Manage Duplicates and then choose Highlight duplicates from the dropdown menu:
Once you click on the button, you will be presented with options on how you want to select entries. The four given options are:
Within the Range – To highlight common entries within a range
Two Ranges – To highlight common entries between two ranges
Within the Worksheet – To find out the same entries in a spreadsheet
Two Worksheets – To find out the same entries in two spreadsheets
You are allowed to perform the comparison through given rows.
Fetch Duplicates
If you want to export the duplicate entries that are present in a given spreadsheet, then you should consider using the Fetch duplicates feature.
When you click on the Manage Duplicates feature, you can select Fetch duplicates, which is the second dropdown menu.
Clicking this button will present options on how you want to select entries. The four given options are:
Within the Range – To fetch common entries within a range
Two Ranges – To fetch common entries between two ranges
Within the Worksheet – To fetch the same entries in a spreadsheet
Two Worksheets – To fetch the same entries in two spreadsheets
After selecting the entries, you can click on the “Export to New Sheet” button to send data in a new sheet.
Highlight Unique Values
Finding out the values that are only present once in a dataset can be useful if you are dealing with data that contains a lot of the same entries. To find such values, you can use the Highlight unique values feature.
You can find the Highlight unique values button by clicking on the Manage Duplicates button and then choosing the third option from the dropdown section.
When you click on the Highlight unique values button, you will be presented with three options for selecting entries. The three given options are:
Within the Range – To find unique entries within a range
Two Ranges – To find unique entries between two ranges
Two Worksheets – To find the unique entries in two spreadsheets
You can click on the “Confirm to Mark” button when you are done with selecting the range you want to check.
Fetch Unique Values
There might be certain unique entries in the data that you can use to enter in a separate worksheet. Instead of typing all those values manually, you can save a lot of time by using the “Fetch unique values” feature.
You can start using the Fetch unique values feature by clicking the “Manage Duplicates” button and then choosing the fourth option from the dropdown menu.
After you press on the Fetch unique values button, you will be able to choose from one of the three options for selecting entries. The three given options are given:
Within the Range – To extract unique entries within a range
Two Ranges – To extract unique entries between two ranges
Two Worksheets – To extract the unique entries in two spreadsheets
Once you are done choosing the range from the spreadsheet, you can click on the “Export to New Sheet” button to fetch all your desired unique values in a new worksheet.
